Many businesses still spend hours retyping information from paper and PDFs: supplier invoices into accounting software, application forms into spreadsheets, delivery notes into stock systems. It is slow, boring and error-prone. AI document processing automates most of this work while keeping people in control of the results.

What is AI document processing?

It is the automatic reading and understanding of documents. Older OCR (optical character recognition) only turned images into text. Modern AI also understands what the text means: that a number is an invoice total, that a date is a due date, that a table lists line items. It can handle varied layouts, scanned copies and photos taken on phones.

Which documents can it handle?

DocumentTypical fields extracted
Supplier invoicesSupplier, invoice number, dates, line items, VAT, total
ReceiptsMerchant, date, amount, payment method
Delivery notes and LPOsOrder number, items, quantities
Application and registration formsNames, contacts, selections, signatures present
Bank and M-Pesa statementsTransactions, dates, amounts, references
ContractsParties, dates, key terms for review

How does the process work?

  1. Intake: documents arrive by email, upload, scanner or a phone photo.
  2. Classification: the system identifies the document type.
  3. Extraction: AI reads the fields and tables.
  4. Validation: rules check the results, for example that line items add up to the total, the supplier exists and the invoice is not a duplicate.
  5. Human review: anything with low confidence or failed checks goes to a person to confirm.
  6. Export: clean data flows into your accounting software, ERP or database.

How accurate is it?

Accuracy depends on document quality and consistency. Clear, typed documents from regular suppliers are extracted very reliably; blurry photos and handwriting are harder. That is why good systems show a confidence score for each field and route uncertain ones to people. The goal is not zero human involvement but checking a few exceptions instead of typing everything.

Where does it save the most time?

  • Accounts payable teams processing many supplier invoices.
  • Schools and institutions handling applications and admissions forms.
  • Logistics and distribution businesses matching delivery notes to orders.
  • Insurance, finance and Saccos processing member documents.
  • Any team that copies data from emails and PDFs into systems.

What about privacy and security?

Documents often contain personal and financial data. Choose processing that keeps data secure, limits who can see it, logs access and complies with Kenya's Data Protection Act. Be cautious about pasting sensitive documents into public AI tools; business-grade setups keep data within controlled systems and agreements.

How do you start?

  1. Pick one high-volume document type, such as supplier invoices.
  2. Collect samples, including messy ones.
  3. Define the fields you need and where they should go.
  4. Run a pilot alongside your current process and compare accuracy and time.
  5. Expand to more document types once the pilot works.

Example: processing supplier invoices

A distributor receives supplier invoices by email as PDFs and phone photos. An automated workflow collects attachments from a dedicated inbox, extracts the supplier, invoice number, line items and totals, checks that the purchase order exists and the amounts match, and flags duplicates. Clean invoices go straight into the accounting system for approval; uncertain ones appear in a review screen with the document side by side. The accounts team now reviews instead of retyping.

How do you measure the benefit?

Before the pilot, record how long it takes to process a typical batch of documents and how many errors are found later, for example invoices entered with the wrong amount or duplicated. During the pilot, measure the same things plus the share of documents that pass straight through without review. The time saved per document, multiplied by your monthly volume, shows the real return. Fewer downstream errors, such as duplicate supplier payments, are often worth even more than the time saved.

Which AI tools are used?

Options range from specialised document AI services to large language models that read documents and return structured data, combined with your own validation rules. The right choice depends on volume, document variety, language and where data must be stored. Most businesses benefit from a combination built around their own workflow.

FAQ

Frequently asked questions

What is the difference between OCR and AI document processing?

OCR converts images of text into text. AI document processing also understands the document, identifying fields such as totals, dates and line items and turning them into structured data.

Can AI read handwritten forms?

It can read some handwriting, but accuracy is lower than for typed text, so handwritten documents usually need more human review.

Will AI document processing replace my accounts team?

It replaces repetitive typing, not judgement. Your team reviews exceptions, approves payments and handles supplier relationships.

Can extracted data go straight into my accounting software?

Yes, if your accounting software has an API or import option. Validation rules and review steps ensure only clean data is sent.
